Indy Ambassadors Privacy Policy

Effective Date: September 25, 2026

Welcome to Indy Ambassadors! We are a 501(c)(3) nonprofit, volunteer-only organization dedicated to connecting people with great volunteer opportunities and community events across the central Indiana region. We are so grateful for your support and interest in making our community a better place!

Because your trust is fundamental to our mission, we want to be completely open and transparent about how we collect, use, store, and protect your personal information.

1. Who We Are

Indy Ambassadors operates strictly as a 501(c)(3) public charity managed entirely by volunteers. Our organization operates exclusively within the State of Indiana.

2. Information We Collect

When you sign up for our newsletter, register for an event, or apply to volunteer with us, we may collect the following personal details:

  • Contact & Demographic Data: Your full name, email address, physical mailing address or zip code, and telephone/mobile phone number.
  • SMS Opt-In Information: Information related to your consent to receive text/SMS communications from us.
  • Minors & Parental Consent: Minors are encouraged to participate in community activities! However, if you are under 18 years of age, we require explicit parental or legal guardian consent before collecting any personal information or permitting participation in our programs.

3. How We Use Your Information

We use your information strictly to coordinate volunteer activities and keep you updated on organizational events:

  • Email Updates: Periodic newsletters, event reminders, and organizational news. You may opt out at any time by clicking the “Unsubscribe” link located at the footer of any email.
  • SMS/Text Messaging: Event updates, urgent volunteer notifications, and coordination messages.

4. Mandatory Mobile/SMS Privacy Disclosures

To protect your privacy and comply with mobile carrier rules (A2P 10DLC compliance):

  • Strict Non-Sharing Policy: No mobile information will be shared with third parties/affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties.
  • Scope of Consent: Phone numbers provided for SMS opt-in will never be sold, rented, leased, or transferred to outside organizations for marketing purposes.

5. Website Technologies, Cookies, and Tracking

Our website uses standard tools to enhance your browsing experience and help us reach potential volunteers:

  • Cookies: Small text files placed on your browser to ensure website functionality.
  • Analytics & Pixel Tags: We use Google Analytics and the Meta Pixel to analyze site traffic, measure engagement, and run targeted outreach to residents in the greater Indianapolis area.

6. Data Storage & Internal Access

  • Storage Systems: Your data is securely hosted across our operational platforms, which include WordPress, HubSpot, Google Sheets, and third-party event/payment processing services.
  • Internal Access: Information is accessed only by Indy Ambassadors Board Members and designated Event Leaders on a need-to-know basis to manage logistics and communications.
  • Access Control Note: As a volunteer-run organization, we maintain standard user administrative roles within these cloud platforms rather than formal, enterprise-grade identity management access controls.

7. Photo & Media Usage

During events, our leaders or volunteers may take photos and record videos to highlight our impact and celebrate our volunteers. By participating in Indy Ambassadors activities or events, you acknowledge that photos or video recordings featuring you may be published on our website, social media pages, and outreach materials.

8. Third-Party Sharing

We do not sell, rent, trade, or share your personal data with third parties for marketing or commercial purposes. Data is only shared with our infrastructure processors (e.g., website host, email provider, database services) solely as needed to conduct organizational communications and operations.

9. Updates to This Policy

We may update this Privacy Policy periodically. Any updates will be posted directly to this page with an updated effective date.

10. Contact Us

If you have questions about this Privacy Policy or your personal information, please contact our leadership team through our website or via email.
